Terms of Service

Your accepted quote, this agreement and payment schedule form your booking terms. Changes require written agreement; later website updates do not alter them. Your Client Portal updates as you book, and PDF copies are emailed automatically.

You are the contracting client; partners and guests do not become liable by attending. Please provide your postal address through the questionnaire.

Booking & payment

Review your quote and payment schedule before signing. To book, accept the quote, sign, complete the questionnaire and pay by bank transfer.

Your booking becomes binding when you have accepted the quote and signed this agreement.

The £300 booking payment counts towards your total price. If you cancel, payments already made will be credited against the cancellation account.

Follow the agreed payment schedule. The balance is due 30 calendar days before the wedding, on the date shown. If you sign on or after that date, the outstanding price is payable immediately. Additional charges require your agreement.

For overdue payments, I will explain what is owed, allow a reasonable opportunity to resolve it and warn of any proposed consequences. Non-payment or silence does not automatically cancel your booking.

Coverage, planning & charges

I will provide the services, coverage, previews and products in your accepted quote. We will agree the timeline, locations and priorities in writing within your booked hours.

You may request changes or extras at any time. Please ask early: availability, childcare, travel and other commitments affect what I can accommodate. Changes are not guaranteed and require written agreement.

Additions use the price quoted when requested unless an earlier guarantee applies. Each quote states its validity; acceptance must cover scope, price and payment arrangements. Existing service prices remain unchanged.

Downgrades and removals require agreement on the revised services, price and any reasonable cancellation charge. Package pricing means a removed item’s standalone price is not automatically refundable.

Reinstatement is a new addition at the price and availability then offered, unless expressly reserved. Earlier cancellation charges will be adjusted where reinstatement reduces the loss.

Delays do not automatically extend coverage. We will discuss adjustments within booked hours; I will address delays I cause fairly.

Please provide planning information in reasonable time and nominate someone to gather groups. I will make reasonable efforts to capture agreed priorities. Weather, light, restrictions, timings and cooperation can affect results; every guest, expression or moment cannot be guaranteed.

Second photographers

Where included, two photographers cover your booked hours unless otherwise agreed. Assignments and locations depend on your timeline, travel, access, space, safety and venue or officiant restrictions.

A second photographer offers more perspectives and simultaneous coverage, without guaranteeing two views of each moment, every guest or a fixed increase in image numbers.

I select and coordinate the second photographer, remain responsible for the service and edit all selected images in my signature style. I will explain known restrictions materially affecting agreed priorities.

If they become unavailable, I will notify you promptly and seek a suitable replacement. Any unprovided service will be assessed for an appropriate price reduction, refund or other remedy.

If you cancel

Notify me in writing, preferably at %company_email%. Cancellation takes effect on receipt; discussing rescheduling does not cancel your booking.

The wedding cancellation charge is the lower of the ceiling below and the supported net financial loss caused by cancellation. I will take reasonable steps to reduce that loss, accounting for saved costs and replacement work.

Cancellation ceiling

Use these figures:

  • Booking value: the agreed booking price, including accepted changes.
  • Supplied-service value: properly chargeable services already supplied and accounted for separately, including a completed engagement shoot.
  • Avoided expenses: costs saved by not providing the cancelled services.
  • Net wedding value = booking value − supplied-service value − avoided expenses.
  • Starting amount = £300 − supplied-service value.

Neither figure can be negative; the starting amount cannot exceed the net wedding value.

The applicable percentage is the higher of:

  • Reservation progress: days from binding booking to cancellation ÷ days from binding booking to the wedding.
  • Short-notice percentage: 0% at 60 days’ notice or more; (60 − days’ notice) ÷ 30 between 60 and 30 days; 100% at 30 days or less.

At 30 days’ notice or less, including same-day bookings, use 100% without calculating reservation progress.

Wedding cancellation ceiling = starting amount + (net wedding value − starting amount) × applicable percentage.

These calculations use differences between UK calendar dates, not elapsed hours. Intermediate figures are not rounded; final amounts are rounded to the nearest penny.

For partial cancellation, the written variation must identify the services, price and share of the starting amount. The £300 is allocated once across the booking.

Loss and your cancellation account

Booking-specific preparation, costs and non-recoverable supplier commitments may form part of the loss, within the ceiling. An actual second-photographer cancellation payment is not a saved expense.

Replacement work reduces the assessed loss by its net contribution after relevant acquisition and delivery costs. It is not also deducted from the ceiling.

Supplied services are excluded from the wedding loss assessment and ceiling. Each service, cost, loss, payment and refund is counted once.

Total charge = supplied-service value + wedding cancellation charge.

Balance = total charge − payments received + refunds already issued.

A positive balance is payable; a negative balance is refundable. The combined charge cannot exceed the agreed booking price, including accepted changes.

I will provide a written calculation, review it if later replacement work reduces the loss and refund any excess. A later policy will not replace this calculation without your agreement.

Rescheduling

Date changes depend on availability and written agreement. Your original booking continues until a transfer or cancellation is agreed or notified.

On transfer, existing payments and engagement-shoot benefits carry forward, including completed shoots. The cancellation calculation keeps the original binding-booking date and uses the replacement wedding date.

Before agreement, the transfer terms will identify changes to services, price, payment dates, logistics and supplier commitments, and their effect on cancellation charges. Existing commitments are counted once. If you cancel instead, the cancellation terms apply.

Engagement shoot benefits

If you cancel after taking a complimentary or discounted engagement shoot, its standalone price in your accepted quote applies, less any amount already paid for it. I will still complete the agreed editing and image delivery. The shoot is accounted for separately from cancelled wedding services, with all payments credited once.

An agreed transfer preserves the benefit. No benefit is withdrawn if I cancel without your fault or you cancel because my breach legally entitles you to do so.

An untaken complimentary shoot ends with the wedding booking. For a separately purchased untaken shoot, we will agree whether it continues independently or is cancelled.

Travel and locations

Wedding-day travel within England is included for the locations agreed when booking. Weddings outside England require an individual quote for travel, accommodation and other costs.

Location changes, including within England, require written agreement after assessing travel, timings, safety, commitments and costs. I may decline changes I cannot reasonably accommodate; your original booking then continues unless you cancel it.

Engagement-shoot travel within North East Lincolnshire is complimentary, whether the shoot is free, discounted or full price. Outside that area, I will quote travel costs before confirming. Permit, access and accommodation charges require prior agreement.

Creative style, selection and editing

You are booking the style shown in my portfolio and pre-booking service description. I use professional judgement in photographing, selecting and editing, respecting expressly agreed requirements.

Standard editing includes exposure, colour balance, cropping and contrast. I select the delivered images; duplicates, tests and rejected frames are not automatically supplied. Quantity depends on coverage and events, subject to any expressly promised numbers.

Final images are colour-graded, high-resolution JPEGs suitable for print and web, at a minimum of 300dpi and 1,500 pixels on the longest edge. Additional specifications belong in the accepted quote.

RAWs are excluded but may be purchased subject to availability, a separate quote, written agreement and acceptance of the RAW Supply Agreement before payment and delivery. They may already have been deleted; a request does not reserve them or extend retention. Working editing files are not supplied.

Where included, “Less Than Perfect” is a discretionary black-and-white bonus collection of meaningful images with technical imperfections. There is no minimum quantity, and there may be none. It supplements the main collection.

Gallery Tidy-Up and Major Edits

Unless expressly included, these are additional services.

Gallery Tidy-Up is one retouching review of the whole wedding gallery for minor distractions that can be corrected naturally and straightforwardly. You may identify distractions to look for, such as blemishes, stray straps, hairs, cables, clutter or isolated background people and vehicles.

Scope depends on the work required. It excludes body reshaping, composites, extensive removals, substantial reconstruction and unlimited revisions. Elements may remain where removal would compromise the photograph.

Major Edits require agreement on feasibility, fixed price, revisions and delivery before work starts. I may decline unsuitable alterations. Any extra Gallery Tidy-Up processing time is agreed when purchased.

Delivery, review and storage

Unless your accepted quote states otherwise, full galleries are due within 30 working days for Legacy/Keepsake and 60 working days for Vow.

Working days exclude weekends and bank holidays in England and Wales, starting on the first working day after the wedding. Included next-day previews are due by 11:59pm UK time the following calendar day unless otherwise agreed.

I will send access and download instructions for your private, password-protected gallery. I will explain anticipated delays promptly and discuss a revised date; notification alone does not extend the agreed deadline.

Please send routine feedback or discretionary adjustments within 14 calendar days of delivery notification.

USBs are prepared after that period or earlier with written approval. An issue affecting their contents may delay preparation. Your accepted quote must state the dispatch timeframe.

Check files promptly and keep independent backups in at least two locations. A USB can fail, become damaged or be lost and is not a permanent backup.

Your completed gallery and delivered JPEG backups remain available for 12 calendar months from completed-gallery notification. Later access does not extend this. If the provider becomes unavailable, I will take reasonable steps to restore access or transfer the files another way.

Afterwards, storage and replacement copies are not included unless separately agreed or legally required. If files remain, optional retrieval may be available at an agreed fee.

Access, cooperation and safety

Please check venue and officiant restrictions, arrange agreed access and permissions, and tell me about privacy, safeguarding, accessibility or safety concerns. Fees payable by you require prior agreement.

Guests may decline posed photographs; your signature does not give consent for every guest or child. I remain responsible for my conduct and will take reasonable care when arranging photographs. Participants should raise concerns and decline unsafe activities.

I may pause or leave coverage where reasonably necessary because of a serious immediate safety risk, threat or abuse. Where safe and practicable, I will explain the issue and allow an opportunity to resolve it. Any charge or refund depends on the circumstances.

Copyright and personal use

Copyright remains with me or the relevant owner. I will obtain the rights needed to license another photographer’s contributions.

You, family and friends may download, back up, print and share delivered images perpetually for personal, non-commercial use, including personal social media. This licence is non-exclusive; personal-use credit is appreciated but optional.

Print labs and social platforms may copy, host and display files as necessary for those uses. Independent commercial use, resale, stock-library uploads and other licensing require separate written permission.

Suppliers, venues and publications need my written permission for marketing or publication, subject to relevant privacy rights. Their licence may require credit; resale and stock rights are excluded unless expressly agreed.

Portfolio and promotional use

Optional portfolio or promotional permission is recorded separately, identifying the collection and permitted uses. Refusal does not affect your price or service. Permission within that scope need not be repeated for each image; materially different uses require further assessment and any necessary permission.

Where use relies on consent, withdraw it by emailing %company_email%. I will stop future use and remove relevant material from my website and accounts as soon as reasonably practicable. Independent copies, caches and distributed print cannot always be recalled; earlier lawful use remains lawful.

If I cannot attend or something goes wrong

I will provide the agreed service with reasonable care and skill and take reasonable precautions with equipment, backups and image security.

If illness, accident or circumstances beyond reasonable control prevent attendance, I will notify you promptly and seek a suitable replacement. Replacement arrangements, material changes and increased prices require your agreement.

If no replacement is agreed and wedding photography cannot be supplied, I will refund payments for that service without undue delay. Separately purchased pre-wedding services properly supplied are charged at their agreed price. I will not withdraw an engagement discount or retrospectively charge for a complimentary shoot because I cannot attend. Package allocations must have been agreed before booking.

Partial failures, image loss and exceptional circumstances legally preventing performance are assessed according to the circumstances and applicable law.

Complaints and serious booking problems

Report concerns by email with booking details and relevant image references. I will acknowledge and investigate, explain findings and proposed remedies within a reasonable time, and update you if more time is needed.

For service, file or product failures, remedies may include correction, repeat performance, a price reduction, refund or another legal remedy.

Independent mediation may be used by agreement, including its provider and fees. I will supply required dispute-resolution information; access to courts remains available.

For missing essential payments or information, I will explain what is needed, set a reasonable deadline and warn of proposed suspension or termination. I may terminate for a serious breach materially preventing performance, with written reasons and an opportunity to resolve it where possible. Any retained or recovered money must be justified and fairly accounted for. A valid complaint does not itself justify cancellation charges.

Personal information

The linked privacy notice explains information use, lawful bases, recipients, retention, international transfers and safeguards, and your rights, including complaints to the Information Commissioner’s Office.

Necessary information may be shared with booking, payment, gallery, backup and editing providers and second photographers under appropriate arrangements. This is separate from promotional permission.

Keep contact details accurate, share gallery access only with intended viewers and report suspected unauthorised access promptly.

Your rights and general terms

Nothing in this agreement limits your statutory rights or remedies, including cancellation and refunds where applicable. Review periods, downloading, approval or receiving a USB do not waive them. Services correcting a failure for which I am legally responsible do not attract an extra charge.

No term excuses failure to provide agreed services with reasonable care and skill or excludes responsibility simply because equipment, files or third parties fail. Nothing excludes death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot lawfully be restricted.

Any applicable cooling-off information and cancellation form will be provided before commitment and confirmed in a saveable format. Statutory cancellation may use any legally permitted method.

Legally binding information and promises remain effective even if stated elsewhere. If a term is not binding, the rest continues where legally possible.

The law of England and Wales applies without removing mandatory consumer protections or courts available to you by law.

Wedding insurance is recommended.

Acceptance

By signing, you agree to this agreement, your accepted quote and payment schedule, supplied for review before commitment. Promotional permission is separate.

I will send written confirmation and copies of the accepted documents. Confirmation records the agreement already formed; it does not delay its binding date.

The terms on this page may change at any time. In that case, the date at the bottom of this page will also change.

Any changes to these terms will apply immediately.

If these changes affect you personally, we will take reasonable steps to let you know.

It is highly recommended that you download a copy of this page for your records.
