Wedding Photography Agreement
1. Booking & Deposit
To secure your date, a non-refundable booking fee of £300 is required. This amount will be deducted from the final balance.
No booking is confirmed until the deposit is cleared. The remaining balance must be paid at least 30 days before the wedding date. Payment can be made via bank transfer or through the Client Portal by card.
Should you reschedule your wedding, your booking fee may be transferred provided the Photographer is available on the new date.
2. Cancellations
Cancellations must be made in writing. All payments made prior to cancellation are non-refundable. Additional cancellation fees apply as follows:
- More than 12 months’ notice: No fee
- 12 months: 20% of total invoice
- 9 months: 35%
- 6 months: 50%
- 3 months: 75%
- Less than 8 weeks: 100%
Failure to respond to reasonable communication attempts may be treated as cancellation, and fees will apply accordingly.
It is recommended that clients take out wedding insurance to protect against unexpected cancellations.
3. Coverage & Timelines
The services provided will be in accordance with the selected package, detailed at the time of booking. A timeline will be agreed upon in writing prior to the wedding.
Clients may upgrade their package or add extras (e.g. second shooter, extended coverage) at any time before the final balance is due, subject to availability.
Should any details (location, times, etc.) change after booking, the Photographer must be notified in writing. Additional travel or accommodation costs may apply if these changes affect the agreed logistics.
4. Creative Style & Editing
The Photographer maintains full creative control over shooting and editing style. Images will be delivered in a colour-graded, high-resolution digital format suitable for print and web (minimum 300dpi, 1500px+ longest edge).
Standard edits include exposure, colour balance, cropping and contrast. Additional retouching requests must be made in writing and may incur a fee.
Final editing decisions rest with the Photographer and reflect the artistic style seen in all promotional material.
5. Delivery
Galleries will be delivered within:
- 30 days for The Legacy and The Keepsake packages
- 60 days for The Vow package
Delivery will be via a private, password-protected online gallery.
Clients will have 14 days from the date of delivery to review their gallery and raise any issues or requests for reasonable adjustments.
USBs (where included or purchased) will be dispatched after this period, or once confirmation has been received that the gallery has been accepted as final.
Final edited images will be delivered via an online gallery, which will remain accessible for 13 months from the date of your wedding. It is the client’s responsibility to download and securely back up all images within this time frame. The photographer is not responsible for archiving files beyond this period and cannot guarantee the availability of images once the gallery has expired.
6. Image Quantity
The number of delivered images varies depending on the coverage and flow of the day. On average, clients can expect between 300–1,000 final images. Duplicate or unflattering images are removed during culling to ensure only the best are provided.
7. Model Consent & Permissions
The Client is responsible for obtaining permission from venues, officiants, guests, or other individuals involved in the wedding day. The Photographer is not liable for any restrictions imposed on photography or resulting fees/fines.
8. Promotional Use
The Client grants the Photographer permission to use selected images for promotional purposes, including but not limited to: website, social media, brochures, and portfolio use.
If you prefer to opt out of this, please notify the Photographer in writing before the wedding.
9. Copyright & Usage
The Photographer retains full copyright ownership of all images. The Client is granted a perpetual, non-commercial, personal-use license. This includes unlimited sharing and printing rights for personal use.
Commercial use, resale, or publication (e.g. by vendors or media) requires prior written consent.
RAW files, unedited images, and working files remain the sole property of the Photographer and are not included in any package. These files are not available for release or purchase unless explicitly agreed upon in writing, and may incur additional licensing fees at the Photographer’s discretion.
10. Force Majeure & Limitation of Liability
In the unlikely event the Photographer cannot attend due to illness, accident, emergency, or other circumstances beyond their control (e.g. severe weather, natural disaster), every effort will be made to arrange a replacement photographer or provide a full refund.
While equipment is maintained to a professional standard and backups are carried, the Photographer shall not be liable for unforeseen technical failures, loss of images due to theft or damage, or performance hindered by restrictions beyond their control (e.g. ceremony officiant limitations, flash restrictions, or poor lighting).
While every effort will be made to ensure your comfort and safety throughout, participation in photography sessions is at your own discretion and risk. The Photographer is not liable for personal injury or property damage during coverage.
Due to the nature of the business, all sales are final.
11. Complaints & Dispute Resolution
If the Client is dissatisfied with any aspect of the service or final images, they must notify The Photographer in writing within 14 days of gallery delivery and prior to downloading or accepting any gallery images (excluding any next-day previews, where applicable).
In the unlikely event of an unresolved dispute, both parties agree to consider mediation via a neutral third-party body. The decision of this body shall be final and binding, and the cost of mediation will be borne by the Client.
12. Data Protection & Third-Party Services
To manage your booking and deliver your gallery, the Photographer uses secure third-party platforms. These services process data in line with their own privacy policies and help provide the best possible experience.
Only the information strictly necessary—such as your name, contact details, event date, and gallery images—is shared to fulfil your booking.
If your booking includes a second photographer, the Photographer may also share limited details of your session (e.g. timeline, locations, names) to ensure seamless coverage.
By booking, you consent to this minimal and purpose-driven sharing of information as required to deliver your chosen services.
Portrait & Lifestyle Photography Agreement
1. Booking & Payment
Full payment is required at the time of booking to secure your session. No session is considered confirmed until payment has been made.
Payments may be made by card via the Client Portal or by bank transfer.
2. Cancellations & Rescheduling
The Client may cancel their session at any time by providing written notice. In the event of a cancellation by the Client, all payments made are non-refundable.
If rescheduling is needed due to illness, weather, or other unforeseen circumstances, The Photographer will offer an alternative date where possible.
In the event of poor or unpredictable weather, The Photographer reserves the right to postpone the session for the safety and comfort of all involved.
3. Session Experience
Session duration and location will be agreed in advance. The Photographer will guide posing and location use, and retains full creative control over the final look and feel of the images.
Clients are welcome to share preferences or reference images ahead of time, but specific shots are not guaranteed due to the spontaneous nature of natural-light photography.
4. Model Consent & Permissions
The Client is responsible for obtaining consent for all session participants. If any participants are under 18, a parent or guardian must provide written consent.
The Client is also responsible for securing permission to photograph at the chosen location. The Photographer cannot be held liable for session interruptions caused by lack of access or revoked permissions.
If any participant has a condition such as photosensitive epilepsy or a light sensitivity that may be impacted by flash or natural lighting, the Client must inform The Photographer in writing before the session date.
5. Image Editing & Delivery
All images will be professionally edited in the Photographer’s signature style, including adjustments to light, colour, sharpness, and tone.
Final galleries are delivered within 30 days of the session via a secure, password-protected online gallery. (Mini sessions or larger events may be delivered slightly sooner or later, as specified.)
Clients have 14 days from delivery to raise any questions or reasonable requests for adjustment. USBs and physical products (where included or purchased) will be dispatched only after written confirmation that the gallery has been accepted.
Final edited images will be delivered via an online gallery, which will remain accessible for 6 months from the date of your session. It is the client’s responsibility to download and securely back up all images within this time frame. The photographer is not responsible for archiving files beyond this period and cannot guarantee the availability of images once the gallery has expired.
6. Image Quantity
The number of final edited images varies depending on session type, duration, and participant cooperation. On average, sessions yield 40–100 images. All unflattering or duplicate images are removed to ensure you receive only the best of your session.
7. Copyright & Usage
The Photographer retains full copyright of all images.
The Client is granted a personal-use license, which includes printing, sharing on social media, and making copies for friends and family.
Commercial use, resale, or third-party publication (including vendors) requires written permission.
RAW files, unedited images, and working files remain the sole property of the Photographer and are not included in any package. These files are not available for release or purchase unless explicitly agreed upon in writing, and may incur additional licensing fees at the Photographer’s discretion.
8. Promotional Use
The Client gives permission for The Photographer to use select images for portfolio, social media, website, or promotional purposes.
If you prefer your images not be shared publicly, please inform The Photographer in writing before your session date.
9. Liability & Safety
While every care will be taken, The Photographer is not liable for personal injury or property damage that may occur during the session. All participants take part at their own risk.
If the Photographer is unable to attend due to emergency, illness, or circumstances beyond her control, she will offer to reschedule or refund the session in full.
The Photographer agrees to use professional-grade equipment and carry backups; however, she shall not be liable for service disruption due to theft, loss, or equipment failure.
10. Force Majeure
This contract may be altered or cancelled by either party due to forces beyond their control (e.g. natural disasters, medical emergencies, civil unrest). In such cases, the Photographer’s liability is limited to a full refund of any fees paid.
11. Complaints & Dispute Resolution
If the Client is dissatisfied with any aspect of the service or final images, they must notify The Photographer in writing within 14 days of gallery delivery and before downloading or accepting any gallery images.
In the unlikely event of an unresolved dispute, both parties agree to consider mediation via a neutral third-party body. The decision of this body shall be binding, and fees for mediation shall be paid by the Client.
Due to the nature of the business, all sales are final.

Commercial Photography Agreement
1. Booking & Payment
A non-refundable booking fee of 50% of the total project fee (whichever is greater) is required to secure your session date and time.
The remaining balance must be paid in full prior to the session date unless otherwise agreed in writing. No services will be delivered until the balance is cleared.
Payment can be made via bank transfer or through the Client Portal by card.
2. Cancellations & Rescheduling
Cancellations must be made in writing. The booking fee is non-refundable. Any additional payments made prior to cancellation may be refundable at the Photographer’s discretion, minus preparation or travel costs already incurred.
Rescheduling is permitted with at least 72 hours’ notice and is subject to availability.
If the Photographer needs to reschedule due to illness, weather, or other unforeseen events, a new date will be arranged or a refund issued if rescheduling is not possible.
3. Creative Direction & Session Scope
The scope of the shoot—including duration, deliverables, goals, and style—will be agreed in writing prior to the session.
The Photographer will retain creative control over composition, editing, and delivery unless otherwise arranged. Any key concepts, brand colours, or reference materials must be provided in advance.
Specific shots can be requested, but due to real-time conditions (e.g. lighting, space, time), they are not guaranteed.
4. Image Editing & Delivery
All delivered images will be professionally edited in the Photographer’s signature style. Edits include colour grading, exposure adjustment, and basic retouching. Advanced retouching (e.g. product cleaning, skin retouching, background replacements) must be discussed in advance and may incur additional fees.
Images will be delivered via private online gallery within 30 working days, depending on the project size. Deadlines required sooner than this may be subject to a rush fee.
The Client will have 14 days from delivery to request reasonable revisions or raise concerns. After this time, or if any images are downloaded by the client, the gallery will be considered final.
The online gallery will remain accessible for 6 months from the date of your session. It is the client’s responsibility to download and securely back up all images within this time frame. The photographer is not responsible for archiving files beyond this period and cannot guarantee the availability of images once the gallery has expired.
5. Usage Rights & Licensing
The Photographer retains full copyright of all images.
The Client is granted a commercial-use license as agreed in writing prior to the shoot, which may include rights for use across:
- Websites and social media
- Print marketing (flyers, menus, banners)
- Packaging and product listings
- Editorial or PR use
The license does not permit resale, transfer to third parties (e.g. suppliers, venues, PR agencies), or use in paid advertising (e.g. Facebook/Instagram ads) unless expressly agreed and licensed in writing.
All third-party use must be cleared with the Photographer in advance and may require a separate licensing fee.
Unlicensed or unauthorised use may result in fees of 200% of the original licensing rate per image, plus legal costs.
6. Credit & Promotion
The Photographer appreciates being credited wherever possible (e.g. in social media captions or team tags) but this is not mandatory for commercial work unless specified in the licensing agreement.
The Photographer may use selected images for their portfolio, website, or promotional purposes. If the Client wishes to delay promotional use (e.g. for launch embargo), this must be stated in writing before the shoot.
7. Permissions & Responsibilities
The Client is responsible for ensuring all required permissions have been secured prior to the session, including:
- Access to the property or location
- Consent from participants or models
- Permission for commercial image use (where applicable)
The Photographer is not responsible for denied access, interruptions, or delays caused by lack of permissions.
8. Limitation of Liability
While every care will be taken, the Photographer is not liable for personal injury, equipment damage, or loss incurred during the session. Clients participate at their own risk.
If technical failure, theft, or force majeure prevents delivery of services, liability is limited to a refund of any payments made.
9. Complaints & Dispute Resolution
If the Client is dissatisfied with any aspect of the service or final images, they must notify the Photographer in writing within 14 days of delivery and before downloading or publicly using any image.
In the rare event of a dispute, both parties agree to consider mediation through a neutral third-party. The decision of the mediator shall be final and binding. Mediation fees will be covered by the Client.
Due to the nature of the business, all sales are final.

Wedding Photography Cancellation Agreement
1. Overview
The Client has chosen to cancel their booking with Aimee Lince Photography for the event scheduled on the above wedding date.
This agreement outlines the cancellation terms as set out in the original Wedding Photography Booking Agreement, signed at the time of booking. It confirms that the Client understands and agrees to the financial implications of cancellation.
2. Cancellation Policy
As outlined in the signed contract:
- All payments made prior to cancellation are non-refundable.
- Additional fees are due based on the time remaining until the original wedding date.
- Cancellations must be submitted in writing and are not considered final until this agreement is signed.
The Client acknowledges they have been advised to take out a suitable wedding insurance policy to cover any cancellation-related expenses.

4. Client Acknowledgements
By signing below, the Client agrees to the following:
- They understand their booking will be permanently cancelled and the date may be offered to another couple.
- They agree that all payments made to date are forfeit and are not eligible for refund.
- They are satisfied with the terms of cancellation and understand no further services will be rendered.
- They agree to pay the applicable cancellation fee listed above, which will be invoiced separately and is due within 14 days of signing.
Revisions
These Terms of Service may be changed at any time. Any changes to these Terms of Service will apply immediately.
